2. Planning your villa experience

When you get in touch with us, a concierge specialist will familiarize you with available services, the special requests we honor, and match your requirements to perfectly matching solutions. He/She will also help you plan all the elements of your stay, so you can only focus on fun and relaxation instead of calling up vehicle rentals, contacting chefs/party providers, or looking up local yacht charter companies.

3. Confirm your stay

Please go through the rental contract outlining all pertinent details covering your stay at the chosen villa. They include terms related to security deposit, check-in/check-out, and maintenance. Feel free to reach out with any questions or clarifications you may have. After you’ve paid your deposit, your booking will be confirmed. You have the option of paying either by credit card or making a wire transfer.

4. Paying your balance

Your villa is officially reserved for you once your payment has come through. Most bookings will require you to pay the balance 60 days prior to your arrival. As is the norm, most villas will also insist on a refundable security deposit. After payment obligations have been made, we can finalize the details of your stay and make preparations from our side to welcome you in the best possible way.

How can I be assured of the quality of villas?

We partner with select villa owners after reviewing their properties for quality, proximity to local attractions, and a variety of factors we believe to be in the best interests of our guests. Your well-being is our concern; we strictly review for health and safety to confirm that you stay in a safe and hygienic environment. When you choose a vacation rental accommodation from Vilotel’s collection, you can expect high standards of comfort, luxury and attentive care.

Can your concierge team direct me to the must-see places in the area?

Sure. Being local experts, our concierge specialists can point you to some interesting sights in and around the area, based on what you would like to see. We can also arrange car rentals and book yachts or boating activities on your behalf.

How do I go about booking a property?

Start by choosing your preferred destination. Then click on ‘Advanced Search’ and select the type of accommodation, and number of beds and baths. You can also sort by price and features of the property, including and not limited to mountain views, hammam, alfresco dining and indoor entertainment options.

Can i have a courtesy hold?

We are happy to hold a room or multiple rooms for you. Our complimentary courtesy hold is valid for 48 hours during which time you can lock in your room(s) and price without any financial obligations.

Can I make a last minute booking?

Yes, we accept last minute bookings. If the advertised property doesn’t offer this option, please contact us directly, and we’ll book your accommodation for you.

What is included in the price?

The price includes utility bills, linen, kitchenware and maid service. However, the frequency of service varies from property to property, so be sure to check this in advance. For an additional fee, you can increase the number of days that you wish for this service to be available to you. Please mention this when submitting your booking form and making prepayments, to ensure smooth, flawless service.

Should I know about any additional fees not specified in the price?

No – all prices are clearly stated in the Terms and Conditions. We don’t charge any hidden fees and pride ourselves on being transparent in all our dealings.

How do I come to know if my reservation is confirmed?

The page confirming your booking will instantly appear after you’ve completed the booking process. It will contain reservation details as well as your unique booking number. You will also receive a confirmation email with the booking details that you can refer to, save or print-out.

What does it mean if my request is currently being processed?

It means that we will need some time to confirm availability and booking with the particular holiday rental owner. This process is completed within 48 hours. After ascertaining availability, the deposit amount is charged to your card and your booking is confirmed. You will then receive a booking confirmation email. In the event of non-availability, your card won’t be charged, and we will contact you with alternate offers.

Do I need holiday insurance?

We recommend all our guests – and travelers in general – to carry travel insurance that covers medical evacuation and offers protection against trip interruptions and cancellations. We also suggest that you read the policy wording carefully to understand what the policy covers and what it doesn’t.

What are the check-in/check-out timings?

Check-in times vary across properties; usually, check-in is between 15:00 and 22:00, while check-out is before 12 am. We follow these timings to arrange pick-ups and other details in a streamlined manner and assign concierge specialists to clients accordingly. If you anticipate earlier check-ins or late check-outs, please let us know at the earliest.

Will someone from your concierge team meet us at the airport or port?

If you’ve made a reservation at an accommodation in Paxos, a member of our concierge team will meet you at airport or port. Other destinations have their own meet and greet policy.

What kind of security do you have to safeguard my personal details?

We use the latest, industry-standard SSL encryption security software to ensure the highest levels of security for sensitive details. When necessary, we provide your details only to trusted third-parties. This is limited to booking and other aspects of your overall villa rental and Greece vacation experience.

How do I manage booking changes or cancellation?

To communicate any changes to your booking, please mail us at Our staff will note the changes and/or contact you if needed, between 9am and 5.30pm. We also acknowledge cancellations via email, during business hours. The cancellation policy outlining terms and charges is specified for every villa at the time of reserving online. To access the reservation system, please click on the ‘Book Now’ tab on page on which the villa is listed.

The villa currently available has more bedrooms than I need. Do I need to pay the full rent?

Rent is determined by the size of the accommodation, and not the number of people occupying it. Guests are required to pay full rent for the villas they’ve booked regardless of the number of bedrooms they will be occupying.

How much security deposit do I need to pay?

The security deposit is a surety against damage to property by guests, in which case the deposit will help pay towards the necessary repairs and fixes. If no damages occur during your stay, your security deposit is returned in full at the time of check-out.

How do the rates at Vilotel compare with other holiday rental providers?

We offer excellent quality and top value. Our nightly rates are competitive and compare favorably against other providers.

How do we get the keys?

Once you arrive the the villa, the manager or a Vilotel representative will hand over the keys to you. He/She will also take you through the villa and explain all pertinent details that allow you to make the most of the available services and features. This is a good time to get any questions answered.

What if I'm dissatisfied during my stay?

Should you face any problem during your stay the villa, please report it the principal or their agent immediately. These details will be mentioned in our booking confirmation. Upon arrival, you will get the contact details of the individual who can help you in the event of any issue you encounter at your accommodation.
